Securing and Sharpening Partner Reporting for a Retail Analytics Business

OfficePro Consulting reviewed the Power BI reports a retail analytics business shares with its external partners and gave structured, strategic recommendations to improve them, then set up and proved the secure access so each partner sees only its own data. Every partner now opens reporting it can trust, validated before launch against the client's own reference figures, with no loss of functionality for the internal team.

The challenge: useful reporting for partners, with no risk of crossover

The client turns raw retail data into insight for its external partners and the partner-facing reports were already in place. Two things still had to be right before any partner could be given access.

Reports in place
Partner-facing Power BI reports were already built
!
Clarity gap
Layout and usability could be sharper for partners
Room to improve
!
Crossover risk
One wrong setting lets a partner see another's data
Confidential data
!
Assumptions, not proof
The client needed certainty before any external access
No guarantee yet
Internal access must stay
All without removing what the internal team relies on
2 musts
Clear reports and isolated data, both before launch
Crossover
One wrong setting exposes a partner's data
Unproven
Data isolation assumed, not yet tested
No trade-off
Internal access could not be reduced

What we built

Secure access to the partner reports, set up and proven so each partner only ever sees its own data, alongside structured recommendations to get the most out of the reports. The internal team keeps everything it had and adding a new partner is a simple, repeatable task they can run themselves.

1
Review and recommend. We reviewed the existing Power BI partner reports in detail and gave structured, strategic recommendations to improve them across design, usability and functionality.
2
Secure and prove. We locked access down so external partners are limited to their own data and cannot extract it through side doors, then tested with a real external account and validated against the client's own figures, matching to the cent. Internal access was left untouched.
3
Ready and hand over. We confirmed the reporting ready for release and documented ongoing partner setup as a simple, repeatable process the internal team owns.

How it works

When a partner signs in with its own secure account, the report recognises who is viewing and shows only that partner's data, on every page. The options that would let data be copied or exported are closed off for external partners, while the internal team keeps full access.

Alongside this, we reviewed the existing partner reports and gave structured recommendations covering layout, ease of use and functionality, so one set of reports safely serves everyone with each partner's view limited to its own business.

Each external partner now opens reporting it can trust and sees only its own business, proven before launch against the client's own figures and matched to the cent. The reports come with a clear set of improvements to act on, the internal team kept everything it relies on and adding a new partner is now a simple task the team handles itself. The client can share reporting with external partners knowing everyone sees only their own data, with a clear path to make the reports better still and the internal team works exactly as it did before.
